A photo sharing workflow for conference and association organizers

Plan how attendees find their photos, how speakers receive their sets and how the event team manages coverage across rooms and days.

A conference photo handover serves several audiences: attendees want pictures of themselves, speakers want their stage photos, and the organizing team needs coverage of the full event. An association’s annual meeting adds member networking, awards and receptions. Give each audience a clear way to get its photos before the event begins.

Build one event across the conference days

Create a gallery for the conference and organize uploads into folders by day, room or session. Attendee selfie search runs across the event, so someone photographed in a workshop and at the reception can find their matches from the same link. Plan photo capacity, storage and the access period against the actual coverage; more attendees do not automatically mean a particular photo allowance will be enough.

Agree the handover with the photography and event teams

  1. 01Decide who creates and manages the event, who uploads coverage and who reviews attendee contributions.
  2. 02Set the conference branding, recognizable event name and cover before sharing access instructions.
  3. 03Choose public access or a private gallery with a shared PIN. The PIN is not a ticketing-system or membership verification integration.
  4. 04Create the link and QR poster before registration opens. Test both with a phone outside the organizer’s signed-in browser.

Put QR access where attendees can pause

  • •Registration desk: display the poster and tell attendees when to expect the first photos.
  • •Session screens: show the event QR between talks, with a plain-language instruction to find photos using a selfie.
  • •Networking and reception areas: place a sign where people can stop without blocking a doorway.
  • •Attendee email or existing event communications: include a tappable gallery link for people reading on the same phone.

Scanning the QR and tapping the link open the same gallery. Attendees need no app or account to search. In a private gallery they enter its PIN first, then take a selfie to see photos they appear in. This is personal photo search, not an open album of every attendee’s photos.

Prepare speaker and award-winner photo sets

After the relevant photos are uploaded and indexed, the event team can name a speaker’s face and prepare their personal photo link. This helps speakers who leave before the event ends. Treat these personal links as access links and send them to their intended recipients. Use the regular event link and PIN instructions for general attendee access.

Collect attendee photos when they add useful coverage

Optional guest uploads bring in small-group discussions and networking moments the official photographer may miss. Attendees tap Add your photos, confirm an email and select JPG or PNG files. Uploading does not require a selfie. Review first is the default; Show right away is available when the organizer wants immediate publication. Guest uploads are photos only, not videos.

Send the follow-up with a download deadline

Include the gallery link in the post-event email, the access PIN if needed, and the date access ends. Explain that attendees search with a selfie and can download individual matches or build a ZIP on the page; an email copy of the ZIP link is optional. The event team chooses the delivery size, so confirm whether attendees receive 1600px, 2560px or original files.

Keep later uploads in the same event. Attendees who opt in can receive emails when new photos match them. Review gallery views, searches and downloads to understand use, and ask the event team what manual work remains before adopting the workflow for the next conference. Those metrics do not identify sponsor leads or establish permission to contact attendees.

FAQ

Frequently asked questions

Does this work for an association’s annual meeting?

+

Yes. Use one event for sessions, networking, member awards and receptions, with folders for each part. Attendees find their matches across the event with a selfie.

Does FotoMe AI connect to conference registration or ticketing?

+

This workflow uses a standalone gallery link or QR code. A private gallery uses a shared PIN; it does not verify registration, tickets or association membership.

Can speakers get photos without taking a selfie?

+

The event team can name a speaker’s face and send a personal link to their set. General attendees can use the event gallery’s selfie search.
