How to share event photos with one link

A gallery link works before, during and after the event. Here is how to send it, explain what guests should do, and keep access under your control.

A photo sharing link gives everyone at an event one address to come back to. It is easier to tap a link in a message than to scan a QR code displayed on the same phone. Use the link in a birthday group chat, a conference follow-up email, a race organizer’s message or a family reunion thread. The QR code is the same gallery address in a form a camera can read, so you can use both without creating two albums.

Decide what you want guests to do

Sharing photos and collecting photos are related jobs, but the instructions differ. To deliver your event photos, upload them and send the gallery link. In FotoMe AI, each guest takes a selfie to find the photos they appear in. To collect photos from guests, enable guest uploads and ask them to tap Add your photos, confirm their email and choose files from their phone. Uploading does not require a selfie.

You can use the same gallery for both. A guest who wants to contribute can upload without searching, and a guest who only wants their own photos can search without confirming an email. You do not need a hired photographer: a host can create the event and invite contributions from the group.

Create your event photo sharing link

  1. 01Create an event with a recognizable name and date. Its gallery link is available before you upload any photos, so you can include it in invitations.
  2. 02Choose public or private access. A private gallery asks for a 6-digit PIN before guests can enter. Decide how you will communicate that PIN.
  3. 03Upload the event photos. If guests should contribute too, turn on guest uploads under Settings → Guests & delivery and choose Review first or Show right away.
  4. 04Open Share and copy the gallery link, or use the WhatsApp or email message option. Open the link on a phone before sending it to the whole group.

Send a link people can use on their phone

Include the event name, a short instruction and the access deadline. For a private event, send the PIN through a channel intended for attendees. A link pasted into a WhatsApp message, SMS or email is enough; guests do not need an app or account to find their photos.

Before the event: “Our [event name] photo gallery is here: [gallery link]. Save the link for later. When photos are ready, open it and tap Find my photos to take a selfie and see your matches.”

After the event: “Photos from [event name] are ready: [gallery link]. Tap Find my photos and take a selfie to find yours. Please download the photos you want to keep before [download deadline].”

When guest uploads are enabled, add: “Have photos from the event? Tap Add your photos, confirm your email and choose photos from your phone. You do not need to take a selfie to upload.” Replace the bracketed placeholders before sending, and include the PIN if the gallery is private.

Use the QR code at the venue and the link in messages

  • •Birthday or reunion: print the event poster for the welcome or food table, then put the link in the group chat.
  • •Conference or company event: put the QR on venue screens and use the link in the attendee follow-up or internal team message.
  • •Club night or gala: display the code near check-in or the portrait area, and send the link when the official photos are ready.
  • •Sports event: use a QR at registration or the finish area, with the gallery link in the organizer’s results or follow-up message.

The Share tab’s QR, WhatsApp and email links carry source labels, so the event analytics can separate visits from those tagged links. Copy link is untagged and counts as direct. A forwarded tagged link retains its label; this measures which link people used, not every channel it passed through.

Keep the gallery’s access settings clear

A public link can be opened by anyone who receives it. A private gallery requires the link and its PIN, but either can be forwarded. Keep a private event’s PIN in attendee messages rather than public social posts. If you need to reset access, regenerate the PIN; existing guest sessions end and guests must enter the new PIN.

A guest’s selfie searches only that event and returns the photos they appear in. This is a personal photo-finding experience, rather than a shared feed where every guest browses every upload. Tell your guests which experience to expect.

Explain downloads and how long the link works

Guests can download individual matched photos or build and download a ZIP on the page without providing an email. Email delivery is optional: guests can confirm an address to receive the ZIP link too. The organizer or photographer chooses the event’s delivery size: 1600px, 2560px or the original file. Original-quality downloads therefore depend on the event settings, not on whether the guest arrived by QR or by link.

The gallery stays available within the event plan’s access period and any earlier link expiry you set. Uploading more photos does not require sending a new gallery link. Include the actual download deadline in your message and ask guests to save the photos they want to keep before access ends.

If someone cannot find their photos

  • •Check that they have the right event link and, for a private gallery, the current PIN.
  • •Confirm that the photographer has uploaded the relevant photos and that processing has finished. A gallery created before the event can still be empty.
  • •Ask the guest to retry with a clear, front-facing selfie in good light. A covered face, heavy blur or a face turned away in the event photo can prevent a match.
  • •If they cannot see Add your photos, check whether guest uploads are enabled. Uploads accept JPG and PNG photos; they do not accept video.
FAQ

Frequently asked questions

Can I share event photos with a link instead of a QR code?

+

Yes. The QR code and gallery link open the same event. Send the link through WhatsApp, SMS or email, and use the QR code on printed signs or venue screens.

Do guests need an account to open the photo sharing link?

+

No app or account is needed to find photos. Guests enter the PIN if the gallery is private, then take a selfie to find their matches. Uploading photos or receiving a ZIP by email requires confirming an email address.

Can guests upload photos using the same link?

+

Yes, when guest uploads are enabled. They tap Add your photos, confirm their email and choose JPG or PNG files. They do not need a selfie to upload.

Does the event photo sharing link expire?

+

It works while the event gallery is active, subject to the event plan’s access period and any earlier link expiry the organizer sets. Check the event’s deadline and download your photos before it closes.
